RICOH SIMPLIFIES PRINT SECURITY WITH NEW CARD AUTHENTICATION PLATFORM

New Platform Manages Access to Increase Overall Document Security

BOSTON, March 4, 2008 – Ricoh Americas Corporation, the leading provider of digital office equipment, today announced a new Card Authentication Platform. Designed to control user’s access to multifunction products (MFPs), this platform allows administrators to authenticate users for scanning, faxing, copying, and printing from a central MFP.

Document security is a major concern at any organization, but especially those in which employees utilize centralized MFPs. To address this issue, the Card Authentication Platform requires that users log in at the MFP by swiping their existing identification card, such as their building ID badge. Some of the cards enabled to use this platform include HID, Casi-Rusco and NexWatch. With a simple swipe of the ID card, the Card Authentication Platform automatically integrates the user to the MFP allowing organizations to manage user access. This is beneficial for companies with temporary workers, for example, who may not need access to scanning and color printing, while full-time employees have complete access. In addition, by employing MFP authentication and installing the Secure Release Option, MFPs can also hold print jobs until the user swipes their ID card so unintended users do not pick up confidential documents.

“Ricoh understands that our customers place high importance on document security,” said Hede Nonaka, executive vice president, Document Solutions and Services Division, Ricoh Americas Corporation. “We believe the Card Authentication Platform will provide a complete print security solution.”

The Card Authentication Platform integrates authentication with several software applications, such as GlobalScan NX. With single sign-on, users swipe their card once at the MFP and do not have to authenticate themselves again as they change solutions, which further increases business operations and productivity. Furthermore, by utilizing the Card Authentication Platform offices can limit color usage to authorized users, reducing the total cost of ownership.

To further enhance usability, the Card Authentication Platform is fully compatible with the built-in user permissions function available standard in Ricoh’s MFP lineup. The management of permissions allows registration of a users name and password, and controls the functions available to that individual. This integration provides a higher level of security for organizations required to comply with Sarbanes-Oxley, HIPAA, Gramm-Leach-Bliley and other regulations.

PCC 3.1 calms security concerns by creating a protected environment where only authenticated users can release their documents using a PIN code, user ID/password or an identification card.

The upgraded PCC version easily integrates with Equitrac Office and Equitrac Express software solutions to offer several enhancements to help organizations manage authentication and control, while at the same time tracking users and allocating costs in a secure environment for Ricoh multifunction products (MFPs). In addition, PCC 3.1 features an off-line mode where MFPs can still operate when connection to the server is interrupted, and is able to synch back to the server as soon as the connection is restored, saving users valuable time.

“Like Ricoh, we understand our customers’ needs and believe that PCC 3.1 with Equitrac Office and Equitrac Express will exceed their expectations,” said Michael Rich, CEO, Equitrac Corporation. “We are happy that Ricoh is providing this solution through their distribution channel and look forward to continuing to work with them to introduce superior products to the marketplace.”

PCC 3.1 supports Equitrac’s new USB card readers, which require no external power and are automatically detected upon MFP start-up. To further promote ease of use, PCC 3.1 includes a new function that allows users to self-manage their PIN codes and self-register their cards. For improved storage, the Print & Save functionality enables users to print documents as usual, but also keeps a copy of it on the server, allowing access to the document at a later date. An additional enhancement that increases document security is Equitrac’s Follow-You Printing, which allows users to print documents to another device if there are several jobs already in the queue, in an effort to increase productivity.

“We are happy to provide Print Copy & Control version 3.1 with Equitrac Office and Equitrac Express through our dealer channel,” said Hede Nonaka, executive vice president, Document Solutions and Services Division, Ricoh Americas Corporation. “Our customers frequently ask for solutions to help them monitor and track expenses, and through our continued partnership with Equitrac we address this growing need.”

RICOH DELIVERS VERSATILE ON DEMAND PRINTING SOLUTION

Dataworks3 Software Suite Simplifies the Creation and Distribution of Direct Mail, Transactional, and Transpromotional Documents

BOSTON, March 4, 2008 – Ricoh Americas Corporation, a leading provider of digital office equipment, today announced the availability of Ricoh Dataworks3 software suite, a middleware solution designed to enhance variable data printing (VDP). Available in three distinct products – Dataworks3 DM, Dataworks3 SMB and Dataworks3 PRO – these Dataworks3 software solutions simplify VDP for direct mail, transactional and transpromotional applications to meet the data-driven document production demands of any size organization.

Dataworks3 products are easy to use, Windows-based solutions that provide automated “wizard” tools so any user, ranging from novice to expert, can effectively utilize the software. They enable users to share data-driven documents via printing to any Ricoh output device, forwarding through e-mail or fax and storing them on network or Internet archival systems. In addition, using the certified United States Postal Service mail automation option, businesses can reduce postal processing costs up to 50 percent. This option reduces the risks associated with third-party processors and increases compliance with security-related regulations such as Sarbanes-Oxley, HIPAA, Gramm-Leach-Bliley and others.

“Many organizations face the challenge of finding a solution that meets their variable data printing needs,” said Hede Nonaka, executive vice president, Document Solutions and Services Division, Ricoh Americas Corporation. “Dataworks3 provides customers with a full range of solutions that streamline and automate variable data workflows, reduce total cost of ownership and generate dynamic high quality business documents for maximum marketing impact.”

Dataworks3 DM is a template-driven application that enables organizations to add text, logos and graphics to easily customize one-on-one direct mail materials such as flyers, postcards, letters, etc. With Dataworks3 DM, marketing campaigns can be targeted to deliver unique and powerful messages. By making communications more effective, businesses minimize costly manual steps and eliminate the time-consuming, traditional mail-merge process. For example, retailers can promote new offerings with tailored postcards and direct mail, while real estate agencies will benefit from generating cost-effective customized listings and sales material.

Developed for small-to-medium businesses, Dataworks3 SMB streamlines and automates the creation and distribution of direct mail and transactional documents from invoices to checks to account statements. Dataworks3 SMB allows users to automatically schedule database queries, data processing, document development and printing – ideal features for any environment. Sophisticated rules and conditions can also be applied to route documents to multiple destinations, change printing characteristics and allow organizations greater flexibility in improving their VDP workflow.

Dataworks3 PRO provides enterprise customers with the necessary tools to use their transactional information to promote highly-effective marketing communications. Developed specifically for complex high-volume workflows, such as graphic arts, data centers and in-plant production environments, Dataworks3 PRO brings the most innovative marketing and relationship building ideas to life.

Automotive leasing organizations can benefit from Dataworks3 PRO by utilizing the software solution to successfully manage their clients’ off-lease vehicles. Off-lease promotions are directed at specific lessees to upgrade their vehicle early by highlighting special interest rates, offering discount coupons, vehicle specials and attractive new lease terms. Monthly statements are combined with specific messages that are derived from data, such as current vehicle information, payment history, market trends and geography, to target each lessee individually for best response and increased revenue.

RICOH’S GLOBALSCAN 3.1 WORKFLOW SUITE

Enables Scanning Directly to Back-end Systems, Document Management Systems and Fax Servers

BOSTON, March 4, 2008 – Ricoh Americas Corporation, the leading provider of digital office equipment, is previewing how document-intensive organizations and companies can improve workflow efficiencies by integrating scanning into their mission-critical business processes. GlobalScan™ 3.1 with Workflow Suite will be on display at the AIIM International Exposition and Conference, booth #631. GlobalScan 3.1 with Workflow Suite is compatible with Ricoh’s line of multifunction products (MFP), as well as with products from other manufacturers.

With GlobalScan 3.1’s Workflow Suite, Powered by AutoStore®, several scanning plug-in features are included to seamlessly connect the MFP directly to different types of systems. The Scan-to-XML plug-in allows MFPs to scan documents and send directly to backend systems, enabling users to create their own customized workflows in order to capture specific information based on a particular project. By designing personalized workflows for each scan job, uses are able to streamline business processes in order to produce the most efficient workflows based on their needs at a given time.

The Workflow Suite also features other bundled connectors including Scan-to-FTP, Scan-to-SFTP, Scan-to-Printer, Scan-to-Microsoft Exchange Public Folders, Scan-to-Microsoft SharePoint, Scan-to-Lan Fax, Scan-to-Domino.doc and Scan-to-any ODBC compliant database. In addition, the enhanced RightFAX functionality expands the MFP’s fax capabilities by adding several features such as seamless integration of address books and automatic confirmation notification when a fax is received. The Workflow Suite also offers optional support for over 18 additional back-end Enterprise Document Management Systems (EDMS).

Other advanced features of GlobalScan 3.1 include enhanced optical character recognition (OCR) capabilities to allow easy conversion of hardcopy documents into a number of electronic formats and the ability to compress large documents up to 100 times using JBIG2 for PDFs and JPEG2000 for color images. Additionally, GlobalScan 3.1 features an improved control panel with an easy-to-use Graphical User Interface (GUI), which includes a thumbnail image preview feature that allows users to see the scanned files instantly on the MFP interface to prevent errors, save time and eliminate rescanning.

“GlobalScan 3.1 enables users to easily navigate document capture, management, storage and global distribution for their entire organization through the networked server,” said Hede Nonaka, executive vice president, Document Solutions and Services Division, Ricoh Americas Corporation. “With the Workflow Suite upgrade, users have a fully integrated system to create efficient workflows that fit their individual business needs.”

GlobalScan 3.1 with Workflow Suite is slated for release in late April. For more information about Ricoh products and solutions, visit www.ricoh-usa.com.
