Saving Money and Protecting the Environment City Selects New Copier & Printer Vendor

(EVANSVILLE, IN) – The Board of Public Works today gave its approval for the City to enter into contract negotiations with a local Xerox vendor to provide multifunction printing and copying devices at a savings of potentially up to $1 million over the next five years.

“Today’s selection marks yet another step toward greater government efficiency and savings of taxpayer dollars. By selecting one vendor to provide multifunction devices to all City departments, we are drastically cutting down on the amount of equipment that needs to be purchased and serviced. We will also reduce the amount of paper and ink being used,” said Mayor Jonathan Weinzapfel.

Seven vendors responded to the City’s RFP for multifunction devices. The number was then reduced to three: AlphaLaser, Xerox and Lang. The decision was based on several criteria including cost, quality of service, the ability to service the City’s needs, and green initiatives. Each of the three vendors held a demonstration of their equipment and then was scored by each City department based on print quality, copying speed, capability and ease of use, and faxing/scanning to email.

Under the agreement, 358 machines will be replaced by 70 multifunction units which will centralize printing, copying, faxing, and scanning within the various City departments. This will reduce the cost of maintenance and repairs, and replace multiple monthly invoices with one fixed price for consistent budgeting.

The Xerox multifunction devices will also help with the City’s sustainability efforts. The devices are ENERGY STAR qualified and have a smaller carbon footprint. They use cartridge free solid ink which produces 90% less waste than comparable laser devices. Unlike toner cartridges, solid ink waste primarily involves a small amount of packaging which can be recycled locally and it is non-toxic. The Xerox devices will utilize as much as 50% less paper with automatic two-sided printing and copying. Software will automatically detect and remove unwanted pages prior to printing.
