Located in Chippewa Falls, WI, Chippewa Falls Area Unified School District lies 90 miles east of Minneapolis/St. Paul, and 247 miles northwest of Milwaukee situated along the beautiful banks of the Chippewa River. It is a growing district serving approximately 5100 students, kindergarten through 12th grade.  The district is comprised of six elementary schools, a middle school, a high school, and an alternative middle/high school.  The district also partners with the community to offer community-based 4-year old programming called Building Bridges for Children (BB4C). The district also employs approximately 625 full-time staff.

 

Chippewa Falls AUSD Human Resources (HR) department faced an overwhelming challenge managing a mountain of paper forms, reports, documentation and other materials in each of their personnel, payroll and accounting folders. They have thousands of folders with tens of thousands of documents stored both onsite and offsite in a storage area located at one of the schools. Most of these documents have a seven year retention period, but many have to be stored for up to thirty years, significantly driving up storage costs.

 

After researching a number of document management solutions including Laserfiche, the HR department chose API's OptiView solution to convert their paper documents to electronic images. To reduce storage costs, they also plan to destroy all the paper documents after scanning. "We chose API Opt iView for ease of use and integration with our Skyward Business Suite application we use in HR," says Michelle Golden, Director of Human Resources and Public Relations at Chippewa Falls AUSD. Performing a single research project could take four HR staff members up to sixteen hours to dig through filing cabinets and dusty boxes of folders located in their storage facility, bring the documents back to the department, make copies and then re-file them back at the storage facility. Going forward, Personnel, Payroll and Accounting documents will be scanned into OptiView and then linked and stored in electronic folders, eliminating the need for staff to spend valuable time storing, retrieving and archiving paper documents every day. "With OptiView, our HR staff will have secure instant access to employee documentation (regardless of age), which will significantly increase department efficiency," says Michelle. "Required documents will be delivered right to their computers and best of all, they will be able to access all documents right from their Skyward Business Suite application—without having to manually search."
