Central Ohio Primary Care (COPC), the largest physician-owned primary care organization in the United States, recently selected Updox, an all-in-one healthcare collaboration platform that combines patient engagement, provider communications and internal productivity, to provide document management and communications services for their administrative offices.

Document management and communications from Updox, part of the collaboration platform, allows healthcare providers to consolidate all communications into one place where it’s easy to prioritize, personalize, route, respond, and take action. From the Updox inbox, providers and office staff can easily review, edit, route, tag, refax or file faxes and other messages. The services are especially useful for busy practices with multiple locations, like COPC, to streamline workflows and minimize time-intensive manual tasks.

“For all its technologies, healthcare is still a very paper-intensive industry. When documents are transferred, there is risk of any paperwork being lost or destroyed,” said Michael Morgan, CEO, Updox. “Updox eliminates the need for paper by providing a document management system that maps to a provider’s workflow. Communications can be reviewed, routed, filed and acted upon – all within the same platform. There’s no need to find a doctor for a signature, scan pages to be filed or wait to fax a document back out. It can all be managed within the Updox inbox – saving money and time and helping offices run more efficiently.”

“Due to the size and multiple sites of our organization, we were looking for a cost-effective way to manage our documents and maintain a secure, HIPAA-compliant environment. Updox offered us that with a platform created specifically for healthcare that eliminates paper within our administrative office,” said Angelo Mazzocco, chief information officer, COPC.

“Updox provided an easy-to-use platform that maintained the importance of security while adding functionality that rivaled other systems we reviewed. Healthcare companies still depend heavily on faxing technologies, but these technologies are traditionally inflexible and don’t offer a lot of collaboration tools which forced our staff into manual processes,” said Joey Cox, director of Information Technology, COPC.

“Updox provided us with the ability to automate our workflows and create a more collaborative work environment for the users who need it most. This is not only a value add from a cost savings perspective, but it also improved our staff morale by removing some of the remedial, time-consuming duties that were a result of the lack of technical capabilities in our previous systems.”

Healthcare providers across the nation are being encouraged to eliminate fax machines for secure, more economical electronic communications that better support interoperability. Seema Verma, administrator of the Centers for Medicare and Medicaid Services (CMS), has set a goal for an end to physician fax machines by 2020. Document management solutions, such as what Updox offers as part of the Communication suite, support the secure and cost-effective exchange of health information and messaging.
